Privacy notice

Information you provide

Portal accounts store your name, email address, and any phone number or student grades you add. The portal also stores your event reservations, messages, volunteer interests and application details, membership role, and volunteer-clearance status. If you sign a document, it records your typed name, drawn signature, agreement text, date and time, and browser information.

This portal is for adult family members and school staff. Please do not create accounts for children or put student medical information, birth dates, identification numbers, or background-check documents in messages. An adult may supply student first names and grades in the volunteer-interest form. The district volunteer application is completed on the district's separate website.

Who can see it

• Your name, portal role, and board title appear in the signed-in messaging directory.
• Your full profile and signup records are available to you and authorized PTO board members and administrators for coordination.
• Board Only discussions are limited to board members and administrators. PTO Members discussions are available to members, board members, and administrators. Other channels display their audience.
• Direct messages are available through the portal only to the conversation participants. Authorized system operators can administer the underlying service; messages are not end-to-end encrypted.
• Volunteer applications and document signatures are available to you and authorized board members and administrators. Shared documents follow the audience selected by the board.

Contact forms and email

The public contact and membership-interest forms prepare a draft in your email app. They do not submit those details to the website or send an email automatically. Review and send the draft yourself; the PTO receives it in its email inbox only after you send it.

Portal account verification and password recovery use email. Optional event confirmation, cancellation, and reminder emails have a separate preference in My profile; the control remains unavailable until delivery is configured. The website does not send text-message reminders.

Service providers and browser storage

Vercel hosts this website, and Supabase provides portal authentication, data storage, and document storage. These services process information needed to operate the website, including technical request information. The website loads fonts from Google Fonts and portal software from jsDelivr. Your browser contacts these providers when loading those resources.

The portal uses browser storage to keep you signed in, remember your destination after login, and track which notifications you have seen. Sign out on shared devices. Clearing browser storage may sign you out and reset notification indicators.

Membership purchases, district applications, shops, social media, and any remaining external signups open separate services with their own privacy practices. Payment-card details entered on those services are not collected by this portal.

Your choices and questions

You can edit your phone number, name, grades, and available email preference in My profile, and cancel your own upcoming reservations in the calendar. To request help with account access, corrections, deletion, or retention questions, contact haudeelementarypto@gmail.com. Do not send passwords or sensitive student records. The PTO may need to verify the requester's identity before handling an account request.
